Event Lead Capture App Comparison: Banana vs Cvent, Captello & iCapture

Badge scanners capture the lead. Then what? We compare event lead capture apps on what actually matters after the booth: CRM, enrichment and follow-up.

Every trade show ends the same way: a stack of scanned badges, a spreadsheet export, and a follow-up plan that starts "next week". By the time that week arrives, most leads have cooled. Choosing the right event lead capture app is less about how fast you can scan a badge and more about what happens in the 48 hours after.

In this guide we compare four approaches: Cvent LeadCapture, Captello, iCapture and Banana Cards. The first three are established event tools built around scanning. Banana takes a different angle: an NFC business card connected to a built-in CRM and AI follow-ups, so capture and follow-up live in one place.

What to look for in an event lead capture app

Before comparing tools, agree on the criteria. For most sales and marketing teams, these matter most:

  1. Capture speed at the booth — can you collect a contact in seconds, including from people without a badge?
  2. Lead quality — notes, qualification questions and enrichment beyond a name and email.
  3. Where leads go next — a native CRM, or an export/integration you have to maintain.
  4. Follow-up — can personalised follow-ups go out the same day, automatically?
  5. Use outside events — is it useful for the other 300+ days of the year, or only per-event?

Cvent LeadCapture

Cvent LeadCapture is a natural choice when the event itself runs on Cvent: badge data is already in the system, so scanning attendees is reliable and qualification questions can be added per event. The trade-off is that it's an event tool — leads still need to be synced to the CRM your sales team uses, and follow-up happens elsewhere.

Choose it if your organisation already runs its events on Cvent.

Captello

Captello focuses on booth engagement: scanning plus interactive experiences that draw people to your stand and qualify them. It's strong for exhibitors who want to make the booth itself more memorable. Like other scanners, the lead's journey continues in an external CRM or marketing automation platform.

Choose it if booth traffic and engagement are your biggest problem.

iCapture

iCapture is a flexible capture tool for teams that attend lots of shows, with scanning and form-based capture that can work offline. It's designed to get clean lead data out of the event and into your existing systems quickly.

Choose it if you exhibit at many events and mainly need reliable data capture plus integrations.

Banana Cards

Banana starts from a different assumption: the scan isn't the goal — the follow-up is. Each team member carries an NFC business card. A tap (or QR scan) shares their profile and lets the prospect send their details back, and the contact lands straight in Banana's built-in CRM — no export step, no integration to babysit.

From there, AI drafts a personalised follow-up based on who the person is and where you met, so it can go out the same day while the conversation is still fresh. The same card keeps working after the event: at client meetings, coffee chats and conferences without a badge system at all.

Choose it if you want one tool for capture, CRM and follow-up — at events and every day in between.

Scanner vs integrated platform: which approach wins?

  • Standalone scanners are excellent when you need event-specific features (badge integration with a specific registration platform, booth gamification) and you already have a mature CRM and marketing automation stack.
  • An integrated platform like Banana removes the hand-offs. Fewer tools means fewer leads lost in exports, and AI follow-ups close the gap between "we met" and "we talked".

Many teams use both: a scanner the organiser requires on the show floor, and Banana cards for everything the badge scanner misses — side meetings, dinners, speakers and prospects you meet in the hallway.

How to get more from any event lead capture app

  1. Agree on 2–3 qualification questions before the event.
  2. Add a short note to every lead within a minute of the conversation.
  3. Send the first follow-up within 24 hours.
  4. Tag leads by event so you can measure ROI per show.

Bottom line

If your events run on Cvent, Cvent LeadCapture is the path of least resistance. If booth engagement is the priority, look at Captello. If you need dependable capture across many shows, iCapture fits. If you want capture, CRM and AI follow-ups in one place — and a tool your team uses year-round — try Banana Cards or see Banana for teams.
