How to Create Your First Custom Automation

Automations are the engine that powers your AI CRM. While pre-built templates offer quick setups, building a custom workflow from scratch provides ultimate control over your business processes.

Every automation follows a simple "If This, Then That" logic: you define a Trigger (the event), optional Conditions/Delays, and an Action (the result).

Step 1: Open the Automation Builder

To begin, navigate to the automation interface in your dashboard:

  1. Log into your dashboard and select Automations from the left-hand menu.
  2. Click the + New Automation button in the top right corner.
  3. Instead of choosing a template, select Start from scratch to open a blank canvas.

Step 2: Set Your Trigger (The "When")

The Trigger is the specific event that activates your automation.

  1. Click the When (Select your trigger) block.
  2. Browse the menu for triggers related to Contacts, Tags, Pipelines, or Tasks.
  3. For this guide, select "When a new contact is created".
  4. Configure any required fields (e.g., if using a "Tag Added" trigger, specify which tag the system should look for).

Step 3: Add a Delay or Condition (Optional)

You can instruct the system to wait or check specific criteria before performing an action.

  • To add a delay: Click the Add delay button below your trigger. In the "Wait" block, specify the duration (e.g., 1 day).
  • To add a condition: Click Add condition if you want to restrict the automation to a specific Date Range.

Step 4: Set Your Action (The "Then")

The Action is the task the system performs automatically once the trigger and delays are met.

  1. Click the Then (Select your action) block.
  2. Choose an action from the list, such as "Send Email".
  3. Configure the Action: Fill in the required fields like Subject and Body.
  4. Use Variable Tokens: Use the Variable Palette to insert dynamic content. For example, selecting First Name inserts a token like {{contact.first_name}}. This will be replaced with the contact's actual name when the automation runs.

Step 5: Name and Save Your Workflow

Before finalizing, ensure your automation is properly labeled for your team.

  1. Click the Pencil icon next to "Untitled automation" at the top of the window.
  2. Enter a clear name (e.g., "1-Day Follow-Up Email") and an optional description.
  3. Click Save on the title.
  4. Review your flow: TriggerDelayAction.
  5. Click the Create automation button at the bottom of the screen to go live.

💡 Pro Tip

You don't need to delete an automation to stop it. Use the toggle switch next to the automation's name in your main list to enable or disable it at any time.
