How to Set Up Custom Meeting Locations (Zoom, Google Meet, Physical)
Providing your clients with clear, accessible meeting locations is the cornerstone of a smooth scheduling experience. Whether you are hosting a virtual consultation, meeting at a local cafe, or running a session at your office, Banana Cards allows you to tailor your meeting environments to fit your exact workflow. By setting up dedicated location protocols, you ensure that every booking confirmation contains the precise details your clients need to arrive on time.
Why Define Custom Meeting Locations?
Customizing event locations within your service templates removes guesswork for both you and your clients:
- Total Clarity: Clients immediately know whether they should expect a phone call, drive to an office, or join a video link.
- Automated Workflow: Automated calendar injections mean you never have to manually send links or directions after a booking is confirmed.
- Client Autonomy: Empower clients to choose their preferred medium, such as offering both "Zoom" and "In-Person" options for a single service.
How to Add a Meeting Location to a Service
Follow these steps to map out your meeting spaces within the Banana Cards service builder:
Step 1: Access the Service Editor
- Log into your Banana Cards dashboard.
- Navigate to the Services tab from the main menu.
- Click on an existing service to edit it, or select Create New Service.
Step 2: Configure the Location Block
- Inside the service editor, scroll down to the Location settings.
- Click Add Location Option to open the menu.
- Select your desired medium from the dropdown list.
Understanding Your Location Types
Banana Cards supports several modalities to fit your business needs. You can add a single primary location or enable multiple options for client selection.
1. Zoom or Google Meet (Dynamic Video)
When selected, Banana Cards uses your connected integration to generate a unique meeting room the moment the booking is finalized. Ensure your account is properly authenticated in the Integrations tab.
2. Physical Address (In-Person)
Ideal for offices or studios. Input your street address, city, and zip code. This address is automatically embedded into confirmation emails and calendar invites. You can also include parking or entry instructions in the description field.
3. Phone Call
Perfect for discovery calls. Define whether you will call the client (outbound) or if the client should call you (inbound).
4. Custom Link (Static URL)
Use this for platforms like Microsoft Teams or Webex, or for a static personal meeting room. Simply paste your URL into the provided field.
Pro Tip: Offer hybrid flexibility by adding both Zoom and Physical Location options to a single service. Clients will be prompted to choose their preferred format at checkout.
Troubleshooting: "Link Not Generating"
If a client books a virtual session but the link is missing, check the following:
- Integration Status: Verify that your video conferencing account is still active and connected in the Integrations tab.
- Host Constraints: If multiple team members are booked simultaneously, ensure you are using separate, dedicated Zoom accounts to avoid conflicts with overlapping meetings.
