How to Manually Add a Booking to Your Schedule

Clients do not always book through your public link. When someone books by phone, email, or in person, you can add the booking yourself so your calendar and availability stay accurate.

Every booking is linked to a contact

Manual bookings are always connected to a contact in your Contacts CRM. This keeps the booking history, notes, and follow-ups in one place. If the person is new, create the contact first, then add the booking.

Add a booking

  1. Open Calendar or Bookings in your workspace.
  2. Select + or click an open time slot on the calendar.
  3. Search for and select the contact. Their name, email, and phone number are filled in automatically.
  4. Choose the service the client is booking.
  5. Pick the date and time.
  6. Assign the team member who will run the appointment.
  7. Add any internal notes, then save.

The booked time is blocked in the assigned member's availability, so it cannot be double-booked from your public booking page.

Block time instead

If you only want to reserve time without a client, for example for travel or an internal meeting, add Blocked time instead of a booking. Blocked time removes the slot from your public availability without creating a client booking.

Tips

  • Check the timezone shown in the booking before saving, especially for remote clients.
  • Use notes for context your team needs, such as what the client asked for.
  • Keep contacts up to date so reminders and confirmations reach the right person.
