How to Map CRM Variables to Contract Templates

Manually re-typing client names, addresses, and deal figures is time-consuming and prone to errors. Banana Cards solves this by allowing you to link variables from your CRM directly to your contract templates. This guide explains how to map your CRM data to automate document creation.

Step 1: Access Your Template Studio

Before mapping data, open the document structural editor where your base agreements reside:

  1. Log into your Banana Cards dashboard.
  2. Select Templates from the left-hand navigation sidebar.
  3. Click on an existing template to edit it, or click Create New Template to start a fresh document.

Step 2: Define and Insert CRM Variables

Variables (also known as merge tags) act as placeholders where the system injects dynamic data.

Format the Tokens

Banana Cards uses double curly-brace syntax {{variable_name}} to recognize dynamic fields. Insert these tokens directly into your text body:

Example: This agreement is entered into by and between Banana Cards and {{Client_Company_Name}}, represented by {{Client_First_Name}} {{Client_Last_Name}}, for a total project fee of {{Deal_Currency}} {{Total_Deal_Value}}.

Step 3: Configure the Field Mapping Matrix

Once your placeholders are in place, you must link them to your CRM data source:

  1. Open the Variables & Mapping Panel on the right side of the Template Studio.
  2. The system will automatically detect and list all {{tokens}} found in your document.
  3. Next to each token, select your active CRM provider from the Data Source dropdown.
  4. Choose the corresponding CRM field from the adjacent dropdown (e.g., mapping {{Client_First_Name}} to contact.firstname).
  5. Click Save Mappings to lock in your logic.

Step 4: Preview and Test

Always verify your template with live data before publishing:

  1. Click the Test Run / Preview button in the top right utility header.
  2. Select a sample record from your connected CRM in the configuration modal.
  3. Click Generate Preview to ensure the document renders correctly.

Validation Checklist

  • Spacing: Ensure names and placeholders do not crowd surrounding punctuation.
  • Numbers: Confirm currency values display with the correct formatting and decimal places.
  • Empty States: Check how the document appears if a specific CRM field is blank.

Step 5: Publish the Template

Once you have verified that the variables populate correctly, click the green Publish Template button. Your template is now live and ready to automatically pull data from your CRM for future contracts.
