How to Invite Team Members and Assign Roles

Inviting new team members and assigning appropriate roles is the first step to scaling your networking and event management efforts. Adding colleagues to your workspace allows you to share access to CRMs, collaborate on floor plans, and issue company-branded digital business cards.

This guide explains how to invite a new user to your workspace and configure their access permissions.

Prerequisites Before Inviting

Before you begin, please note the following platform rules:

  • Owner Only: Only the designated workspace Owner can invite new members. Admins and regular members do not have this permission.
  • Teams Plan Required: You must have an active Teams plan to invite users.
  • Seat Limits: Your ability to invite members is determined by your purchased seat limit, which is pooled across all your team workspaces. If you've reached your seat limit, you'll need to upgrade your plan or remove pending invites before adding new users.

Step-by-Step Guide to Inviting a Member

Follow these steps to invite a new team member:

  1. Open Team Settings: Navigate to your workspace settings from your dashboard and open the Team members management window.
  2. Initiate the Invite: Click the Invite member button (this is only visible to the Owner). This action opens the invitation configuration modal.
  3. Enter Email Address: In the provided field, type the exact email address of the teammate you wish to invite.
  4. Assign a Role: Use the Role dropdown menu to select either Member or Admin.
    • Admins receive automatic full access to all pages within the workspace.
    • Members require you to set up specific access rules.
  5. Configure Page Access (For Members Only): If you selected the Member role, a Page access section will appear. This section lists all workspace modules (e.g., Contacts, Business Cards, Events). Use the toggle switches next to each page name to grant or restrict access.
  6. Create the Invite Link: Click the Create invite link button.

How the User Joins

After you click "Create invite link," the platform will perform two actions:

  • An invitation email will be automatically sent to the email address you provided.
  • A direct, secure invite link will be displayed in the modal. You can copy this link using the Copy button to manually share it with your teammate via direct message or your own email client.

When your teammate clicks the invite link, they will be prompted to create an account or log in. Once completed, they will be added to your workspace with the permissions you defined.
