How to Create Reusable Contract Templates

Learning how to create reusable contract templates allows you to standardize your business agreements, save hours of drafting time, and ensure consistent legal language across every deal. Once created, you can use these templates to generate new contracts in seconds, filling in client-specific details while keeping the core terms locked.

This guide details how to build, manage, and use your contract templates effectively.

1. Access the Template Manager

To begin creating a template:

  1. Navigate to the Contracts or Templates section from your main dashboard.
  2. Click the Create template button, typically found in the top-right corner, to open the Template Editor.

2. Drafting Your Template

The Template Editor is a powerful document builder where you can either paste existing legal text or type directly into the canvas.

Add Dynamic Placeholders

The core advantage of a reusable template lies in its use of Dynamic Placeholders. Instead of repeatedly typing common information like a client's name or the agreement date, insert a placeholder such as {{CLIENT_NAME}} or {{AGREEMENT_DATE}}. When you later generate a contract from this template, the system will prompt you to fill in these specific values, personalizing the document automatically.

Format Your Document

Use the formatting toolbar to apply standard styles like bold, italics, headers, and bullet points. This ensures your contracts are professional and easy to read.

Embed Signature Blocks

Ensure you place a Signature Block at the bottom of your template. This designates the exact locations where you and your client will need to sign the agreement.

3. Saving and Organizing Your Template

Once your draft is complete:

  1. Click Save template.
  2. Assign a clear, descriptive name to your template. Examples include "Standard Service Agreement - Q3 2026" or "Independent Contractor NDA".
  3. Assign categories or tags to your template. This organization method makes it much easier to locate the desired document later, especially when managing a large collection.

4. Generating a Contract from a Template

When you are ready to send an agreement to a client:

  1. Navigate back to your Templates list.
  2. Click the Use template button next to the document you wish to utilize.
  3. The platform will open a Fill Form window, listing all the placeholders (e.g., {{CLIENT_NAME}}, {{TOTAL_PRICE}}) you defined during drafting.
  4. Fill in the required fields. The system automatically maps these inputs to the correct locations within your legal document.
  5. Review the completed document thoroughly, then click Send for signature to initiate the automated signing process.

Best Practice: Keep Templates Updated

Regularly review your contract templates to ensure they comply with the latest legal requirements and business practices. Since any changes are made to the master template, all future contracts generated from it will automatically include the updated information.
