How to Get Instant Alerts on Deal Movements

When managing a busy sales pipeline, knowing exactly when a hot lead enters a critical stage is crucial for maintaining momentum. Instead of manually refreshing your dashboard, you can use the Notify on New Pipeline Card automation template to receive instant alerts the moment a deal moves.

Use this guide to set up automated pipeline alerts and stay on top of your sales activity.

Step 1: Select the Template

To get started, navigate to the automation builder within your dashboard:

  1. Log into your dashboard and select Automations from the left-hand menu.
  2. Click the New Automation button.
  3. Scroll down to the Templates section.
  4. Click on the Notify on New Pipeline Card template to load the pre-configured workflow draft.

Step 2: Configure the Trigger (When)

The trigger defines the specific movement the system should watch for. The "When" block is pre-set to: "When a card lands in a pipeline step."

You must define the location the system should monitor:

  • Pipeline: Use the dropdown menu to select the specific sales pipeline (e.g., "Main Sales Pipeline").
  • Step: Pick the specific column or stage you want to watch (e.g., "Contract Sent" or "Hot Leads").

Whenever a card is created in or moved to this specific step, the automation will fire automatically.

Step 3: Configure the Notification Action (Then)

Next, customize the message you will receive. Under the Then block, locate the "Send Notification" settings:

  • Message Field: By default, the template says: "A new card landed in your pipeline."
  • Customization: You can rewrite this message to be more descriptive. For example: "Urgent: A new VIP lead just entered the Follow-Up stage!"

Specific messages help you prioritize tasks the moment the notification bell chimes.

Step 4: Save and Launch

Before finalizing, ensure your automation is named and activated:

  1. At the top of the screen, give your automation a distinct name (e.g., "Hot Lead Pipeline Alert").
  2. Click the Create Automation button to turn it on.

Once active, you will receive an in-app notification directly to your dashboard the moment a deal lands in your designated pipeline stage.
