How to Generate a Professional Email Signature from Your Digital Business Card

Every email you send is an opportunity to network. By generating a custom email signature directly from your digital business card, you can ensure that your contact information is always up-to-date, perfectly branded, and easily accessible to anyone you email.

Follow this step-by-step guide to generate and install your new email signature in minutes.

Step 1: Access Your Networking Tools

To begin, log into your user dashboard and select the digital business card you wish to use.

  1. Open the Networking Tools menu.
  2. Locate the Email Signature card (look for the signature icon).
  3. Click the Create Email Signature button.

Step 2: Choose Your Signature Style

The platform automatically pulls your profile picture, name, job title, company, and contact details. On the right side of the screen, you can select from several professionally designed layouts:

  • Minimal (Free): A clean, single-line layout with subtle separators.
  • Classic (Premium): Your profile photo on the left with contact details on the right.
  • Modern (Premium): Refined typography paired with a striking accent bar.
  • Compact (Premium): A dense, two-column layout ideal for multiple links.
  • Bold (Premium): A high-contrast design featuring a colored header band.

Note: If you select a Premium template while on a Free plan, a banner will appear at the top allowing you to upgrade your workspace to unlock these designs.

Step 3: Copy Your Signature

Once you are satisfied with the live preview on the left side of the screen, copy the content to your clipboard:

  • Standard Copy: Click the Copy signature button. This securely copies the rich text, images, and formatting.
  • Advanced Users: If your email client requires raw code, click the gray Copy HTML button to get the direct source code.

Step 4: Paste into Your Email App

Finally, paste the signature into your preferred email client's settings:

Gmail

  1. Click the Gear icon (Settings) > See all settings.
  2. Scroll down to the Signature section.
  3. Click Create new and paste using Ctrl+V (Windows) or Cmd+V (Mac).

Outlook

  1. Navigate to Settings > Mail.
  2. Select Compose and reply.
  3. Paste the signature into the Email Signature text box.

Apple Mail

  1. Open Mail > Settings (or Preferences).
  2. Click the Signatures tab.
  3. Select your email account and paste the copied signature.

Your generated email signature automatically adopts the Accent Color set in your Card Appearance settings. This ensures your email branding perfectly matches your digital business card. Additionally, every signature includes a "View digital card" link to drive traffic directly to your AI CRM profile.
